Full Job Title: Executive Personal Assistant to the Chief Human Resources Officer

Reporting to: Chief Human Resources Officer

Department: Global HR

Main tasks

  • To provide comprehensive administrative and PA support to the CHRO
  • To provide support in organising travel and meetings for the CHRO and for the Global HR Leadership Team.
  • To act as secretary to HR Leadership team meetings preparing agendas, attending meetings and taking the minutes.
  • To prepare HR Leadership Team meetings on behalf of the CHRO twice annually.

Overall objectives and responsibilities

  1. To take overall responsibility for managing efficient secretarial and administrative support and services.
  2. To screen and prioritise incoming emails, correspondence and telephone calls, to take appropriate action and compose own replies to standard enquiries, and to correspond on behalf of the CHRO as appropriate.
  3. To maintain and proactively manage diary, organise meetings and appointments, undertake travel arrangements. To ensure all meeting papers are ready for meetings.
  4. To plan and organise meetings ensure appropriate equipment is available and organise catering. Where appropriate, to put meeting agendas together, attend meetings and take minutes.
  5. Use of software as required for completion of administrative activities such as occasional document and presentation production using MS Office Suite, in particular, MS PowerPoint.
  6. To maintain a good serviceable filing system.
  7. To assist in the compilation of timely and accurate monthly expense forms, and oversight and management of Commercial Purchase Orders / Budgets as needed.
  8. To maintain records of all Staff requisition forms for the respective functions.
  9. Maintain accurate staff absences/ holiday record logs/ documentation and keep HR informed


The EPA has a key communication role across HR, with the other EPAs of the Executive Team, with other Norgine staff and with external parties. The individual is required to exercise tact and discretion as well as the ability to complete tasks in a pro-active manner. Confidentiality and discretion is of utmost importance.

An ability to prioritise and work independently is a requirement for this position, particularly when manager is absent from the office. In addition, the ability to communicate with individuals at all levels, both internally and externally, is key to the role. Occasional travel may be necessary (1-3 times per year).

The job holder must be well organised in order to cover the activities of the CHRO, although some tasks may be routine or cyclical, equally there are a number of non-routine tasks that demand flexibility and insight.


Objectives and priorities are established with the CHRO, however significant personal self direction is expected to act in the best interests of the Organisation and to take and recommend action as required.

This role does not have any direct supervisory responsibility but is required to use appropriate skills to achieve outcomes with others, both internally and externally. There is a great deal of emphasis upon self-reliance, prioritising and high quality standards, whilst using initiative.

Knowledge and Skills

  • Educated to minimum 'A' level standard or ‘HAVO/VWO’
  • Proficient in Microsoft Office tools
  • Experience as a Secretary/PA at an Executive level, preferably within a Head Office environment
  • Excellent organisational skills, time management, accuracy skills
  • Excellent interpersonal skills and ability to work with colleagues at all levels
  • Good team player
  • Knowledge of efficient and effective office procedures
  • Ability to work under pressure with multiple priorities occasionally to tight deadlines whilst maintaining a sense of humour
  • Fluent English; minutes of meetings will be in English
